Summary of America House Program

Through the U.S. Embassy in Ukraine, IREX administers the America House project, a network of welcoming, dynamic spaces in Kyiv, Odesa and Lviv that foster discussion and debate, provides opportunities for professional and personal skill building, and sparks creativity and collaboration around shared Ukrainian and U.S. values. America House Kyiv offers not only a physical space, but also a virtual hub, which facilitates access to balanced resources and information. Peer-to-peer cultural exchanges, discussions and learning at America House Kyiv provide visitors with a seat in “America’s living room.”

Summary of Position

American Spaces Operations Coordinator will be part of IREX’s America House team and will be responsible for overseeing operations in new regional America Houses and strengthening the network of Window on America Centers across Ukraine and coordinating them in terms of logistics and communication. They will execute general administrative duties necessary for effective business development efforts. Their duties will include, but not limited to, proposal administration and coordination, meeting logistics and agreements, execute research and writing assignments, prepare proposal document, manage sales and development databases, actively monitor government contract portals and identify proposal opportunities.

Your Background & Skills:

  • Bachelor's degree.

  • Minimum 2 years experience working for an international NGO, community space, or similar position.

  • Excellent English and Ukrainian.

  • Experience handling complex logistics.

  • Experience in procurements and tenders’ procedures.

  • Knowledgeable about youth and cultural organizations in Ukraine.

  • Demonstrated proficiency with Microsoft Office (Outlook, Word, PowerPoint, and Excel).

  • Excellent verbal and written communication skills.

  • Must be skilled at handling multiple tasks and able to adhere to tight deadlines.

  • Strong intercultural and communication skills.

  • Demonstrated ability to work as a member of a team.

  • Experience studying in the United States or holding an ECA alumnus/a status is an advantage.

  • Must demonstrate valid proof of unrestricted work authorization in Ukraine.

Your Daily Tasks:                                                                                                                                            

  •  Coordinate operations in Window on America (WOA) Centers around Ukraine. 

  •  Coordinate operations in regional America Houses in Odesa and Lviv.

  •  Prepare various admin/accounting payment documents such as reports, consulting agreements, honoraria, and interpreter fees.

  •  Prepare lease agreements and procurement documentation.

  •  Liaise and build strategic relationships with key vendors.  

  •  Coordinate the process of submission, selection, distribution, and monitoring of small grants for Window on America (WOA) Centers around Ukraine.

  •  Fulfill and ensure that deliverables of the subawards are met.

  •  Coordinate the process of selecting and managing resource distribution for regional America Houses and WOA network.

  •  Ensure all fiscal and performance activities are in compliance with IREX policies and procedures and funder regulations.

  •  Design and introduce the WOA network’s reporting requirement templates.

  •  Collect and compile reporting and monthly programming plans from the WOA network.

  •  Liaise with America House area specialists to implement the WOA professional mentorship program.

  •  Coordinate logistics for domestic travel among the WOA network.

  •  Serves as a primary point of contact for assigned country/region; includes interacting with key stakeholders, partners, and/or fellow IREX employees.

  •  Support the renewal process of assigned program.

  •  Support and coordinate country partner outreach as requested.

  •  Support one or more areas of the proposal development process; to include, but not limited to, proposal design, writing, and/or review.

  •  Other duties as assigned.
